Electrician invoice template

What an electrician invoice needs, a filled-in example for a panel upgrade, and how to bill diagnostic time, parts and permit fees.

Updated by the ToolsToHelp.Me team

Electrical work often involves a mix of diagnostic time, parts that need to be ordered, and a permit that has to be filed before the job can be inspected and closed out. An invoice that keeps those pieces separate is easier for the customer to check and easier for you to defend if a permit office or an insurer asks questions.

What to include on an electrician invoice

  • Your business name, license number and contact details. Show your license number where your state requires it.
  • The customer's name and job address. Confirm it matches the address on the permit if one was pulled.
  • A unique invoice number. Helpful for warranty claims and future service calls at the same address.
  • Service call fee, parts and labor as separate lines. Keep material costs apart from installation time.
  • Permit and inspection fees, shown at the amount charged by the local authority.
  • Deposits already paid, subtracted so the balance due is accurate.

How to word your line items

A single line reading "Electrical work, $2,049" tells the customer nothing about where the cost came from. Breaking it into the visit, the parts and the labor answers the question before it is asked.

  • Service calls: "Service call and diagnostic (first hour included)" as a flat fee for the visit.
  • Parts: name the specific equipment, such as "200-amp panel and breakers (parts)", separate from labor.
  • Permits: list at the exact fee charged, on its own line, whether or not you mark it up.

Payment terms for electrical work

  • A deposit for ordered parts, such as a panel or specialty fixture, before you place the order.
  • Balance due on completion, often once the work has passed inspection.
  • Net 15 or Net 30 for commercial accounts or property managers billed on a schedule.

Invoice payment terms explained covers deposits and due dates for trade work.

Frequently asked questions

Should an electrician invoice separate parts from labor?

Yes. List the panel, breakers or fixtures on their own line, separate from installation labor, so the customer can see the cost of materials versus your time.

How do I bill for a diagnostic visit?

Many electricians charge a flat diagnostic or service call fee that covers the visit and troubleshooting, then add repair labor and parts as separate lines if the customer approves the work.

Do panel upgrades usually require a permit?

In most areas, yes, a panel upgrade needs an electrical permit and inspection. Show that fee as its own line at the amount the permitting office charged.

Should I ask for a deposit on larger electrical jobs?

For jobs that require ordering a panel or specialty parts, a deposit covering the cost of materials is common before you place the order.

Do I need to show my license number on invoices?

Most states require licensed electricians to show their license number on invoices and contracts. Check your state's electrical licensing board for the exact rule.
