What to include on a plumbing invoice

  • Your business name, license number and contact details. Include your license number where your state requires it.
  • The customer's name and service address. Note it if it differs from a billing address on file.
  • A unique invoice number. Makes it easy to pull up the job later for a warranty question.
  • Service call fee, parts and labor as separate lines. Do not combine them into one repair charge.
  • Permit and inspection fees, where the job requires them, at the amount charged by the permitting office.
  • Warranty information, noted so the customer knows what is covered and for how long.

How to word your line items

A customer looking at "Plumbing repair, $1,390" has no way to tell if that is fair. The same total broken into a service call, a named part and labor is easy to check against a quote.

  • Service calls: "Service call and diagnosis" as a flat fee, whether or not further work is approved.
  • Parts: name the specific part, such as "Water heater, 40-gallon (part)", so the customer can see the manufacturer cost versus your labor.
  • Labor: a flat installation fee or hourly rate, shown separately from the part it relates to.

Payment terms for plumbing work

  • Due on completion for most residential repairs, since the job is finished in a single visit.
  • A deposit for special-order parts, such as a specific fixture the customer chose, since you cannot return a custom order.
  • Net 15 or Net 30 for commercial or property management accounts billed monthly.
