Landscaping invoice template

What a landscaping invoice needs, a filled-in example for a backyard renovation, and how to bill materials, labor and installed systems.

Updated by the ToolsToHelp.Me team

Landscaping invoices cover a wide range of work, from a one-time mowing visit to a full backyard renovation with sod, a retaining wall and an irrigation system. Pricing materials by the unit and giving each major piece of the project its own line keeps a larger invoice easy to follow.

What to include on a landscaping invoice

  • Your business name and contact details. Include your license number if your state requires one for the work performed.
  • The client's name and property address.
  • A unique invoice number. Useful for tracking multi-visit projects and warranty questions on plants or systems.
  • Each major component as its own line, such as sod, a retaining wall or an irrigation system, with materials and labor noted.
  • Unit pricing for materials, such as per square foot or per cubic yard, with the quantity shown.
  • Deposits already paid, subtracted so the balance due is accurate.

How to word your line items

A single line reading "Backyard project, $3,900" gives a client nothing to check it against. Pricing by the unit, and separating the major components, shows exactly how the total was built.

  • Materials by unit: "Sod installation, materials and labor (sq ft)" with the square footage and per-foot rate shown.
  • Major components: a retaining wall or irrigation system priced as its own line, since each has distinct materials and labor.
  • Recurring maintenance: routine mowing or upkeep billed per visit works better as its own simple invoice, similar to the cleaning services invoice template.

Payment terms for landscaping projects

  • A deposit of 30 to 50 percent before ordering bulk materials like sod, pavers or plants.
  • Balance due on completion, once the client has walked the finished project.
  • Per-visit or monthly billing for ongoing lawn maintenance, separate from one-time install projects.

Frequently asked questions

How should a landscaping invoice price materials like sod or mulch?

Price them per unit, such as per square foot of sod or per cubic yard of mulch, with the quantity shown, so the client can see the calculation rather than one lump materials charge.

Should installed systems like irrigation be their own line?

Yes. An irrigation system, retaining wall or lighting install is usually a distinct piece of the project with its own materials and labor, so give it its own line rather than folding it into general landscaping.

How much deposit should I ask for on a landscaping project?

For larger installs that require ordering materials like pavers, sod or plants in bulk, a deposit of 30 to 50 percent before you order is common.

How do I invoice for ongoing lawn maintenance versus a one-time project?

Routine mowing and maintenance is usually billed per visit or monthly, similar to a cleaning service. One-time installs and renovations are billed as a project, often in a single invoice or by milestone for larger jobs.

Do I need a license for landscaping work?

Requirements vary by state and by the type of work, since some states license landscape contractors for structural work like retaining walls. Check your state's contractor licensing board.
